Registration: Exhibition Rules Terms of Reference Under these rules and regulations the term “Exhibitor” shall include all employees and agents of any company / firm or individual to whom space has been allocated for the purpose of exhibiting. The term “exhibition” shall mean “ECO Trade Fair- 2008” Standard Built-Up Exhibit Space contains the following:
Application Procedure Parties desiring to exhibit their products in the Exhibitions are required to fill in the application form and send it to the ECO Cell, TDAP, 5th Floor, Block “A”, Finance & Trade Centre, Shahrah-e Faisal, Karachi.
Decisions regarding booth position Allocation decisions will be made by the TDAP, with overall consideration of the order in which applications were received for each Product Category, number of booths, number of applicants for each product category, an the applicant organization. TDAP, reserves the right to change the space allocated to the exhibitor at any time of commencement of the erection of the booth of the Exhibitor, should exceptional circumstances demand so, and after the space of transfer or close entrance and exits to the exhibition facilities and, undertake other structural alterations as they may deem fit. Such changes shall be at the discretion of the TDAP or any delegated person / organization and the Exhibitor shall have no claim for compensation as a result of such changes. Incase of any dispute the final decision rests with the TDAP. Use of Exhibition Space.
Exhibitors are only entitled to exhibit the announced products and to man the exhibits with competent personal during the opening hours of the Exhibition. The TDAP reserves the rights to refuse admittance to any visitor to the Exhibition or to have access to any stand. Exhibitors are not allowed to sub-let or assign the stands allocated to them to other parties either wholly or in part without the written consent of the TDAP. Exhibitors will be liable for any damages to the stalls or to any part of the exhibition hall in which their exhibits are placed and shall not paint or otherwise alter the floors, ceilings, pillars or walls. Space rent of Standard built-up Exhibit Space and terms of payment

Important: Kindly provide three (3) passport size and three (3) 1” x 1” photos of the each person mentioned above, along with the application form. (Please write the name and passport/NIC# behind each photo) Procedure for payment of Stall Fee etc. Exhibitors from the member ECO countries can make the payment through the following two options: Payment through Embassies / Consulates of ECO Countries based in Pakistan Please ensure that a pay order/demand draft equivalent to the full space rent in favour of “Accounts Officer TDAP, Karachi” is enclosed with the application form. The amount is refundable in case of non-selection by TDAP. Direct International money transfer in Foreign Exchange In case the exhibitors wish to directly pay the stall fee etc then the fee may be transferred in US$ to the following account: Account # 1216-70002051-03 Title: Accounts Officer EMDF, TDAP, Karachi Bank: Habib Bank Limited Branch: Finance & Trade Centre Branch, Shahrah-e-Faisal, Karachi. Branch Code: 1216 Swift Code: HABBPKKAA216 Please attach the Transfer advice with the application form. Violation of Rules & Regulations and Withdrawal by Exhibitor Without prejudice to the rights and remedies of the TDAP in respect of any violation of the rules & regulation on the part of the exhibitor the TDAP may at its discretion allow the Exhibitor to withdraw from the Exhibition subject to the following conditions: a) The exhibitor must give written notice 30 days prior to Fair to the Trade Development Authority of Pakistan (TDAP), that he / she desires to withdraw and if the TDAP allows such withdrawal they will notify the Exhibitor of their decision in writing. Any amount paid to TDAP shall not be refundable. b) In case of any violation of rules and regulations any payment to TDAP shall not be refunded. c) Should the Exhibitor fail to observe or comply with any of the terms and conditions contained herein of if the exhibitor shall to pay any of the unit costs at the time and in the manner aforesaid, then the TDAP may thereupon by written notice to the exhibitor cancel the allocation of exhibit space. d) Upon the TDAP exercising their right to cancel the allocation, they may, but are not obliged to, re-let or otherwise deal with the Exhibition space contracted by the Exhibitor in default on such conditions as the TDAP shall deem fit. In the event the TDAP having elected to but not able to re-let the said Exhibition space, the Exhibitor in default shall be liable to pay the entire space rent to the TDAP as liquidated damages for the loss of rental. Construction and Decoration of Stand Exhibitors will be allowed to decorate their stall as per schedule notified by the TDAP or any delegated person / organization. Any damages caused by the Exhibitor or his / its contractors to other Exhibitors or common property shall be the responsibility of the Exhibitor. All Exhibitors must complete their construction and decoration by the date and time stipulated by the TDAP. Movement and Customs Clearance of Exhibited goods a) No import would be allowed as mentioned in the Appendixes A & B of the Import Policy Order 2007 issued under the sub-section (1) of section 3 of the Imports and Exports (Control) Act, 1950, (XXXIX of 1950). It may be viewed / downloaded at www.commerce.gov.pk b) TDAP will make special arrangements with Pakistan Customs to facilitate the exhibitors for speedy clearance of exhibited goods. c) TDAP will provide warehousing facility at the Karachi Expo Centre free of cost. d) TDAP will announce the official clearing and forwarding (C&F) agent who will facilitate in the clearance of exhibited goods. The Exhibitor will bear the cost of C&F agent. e) Exhibitors will remove all exhibits from the Exhibition hall within the period stipulated by the TDAP and will indemnify the TDAP against any loss by reason of the delay or damages to the Exhibition hall. Failure of Services The TDAP shall not be liable for any loss sustained by the Exhibitor directly or indirectly attributable to the cancellation, suspension or reduction of duration of the scheduled Exhibition from the period advertised or specified due to: a. Force Majeure. b. Acts of War, Military Activity, Municipal Statutory or Civil Authority requisition. c. Fire, Flood, Typhoon, Excessively inclement of weather, earthquake, or a combination of the same. d. Damages caused by an aerial object or aircraft. e. Strikes or Lockouts by workmen. If the exhibition is cancelled or postponed or its announced / declared duration is reduced then in such event the space rent paid to the TDAP, or any part there of may be refunded at the sole discretion of the TDAP to the exhibitors but with out prejudice to the TDAP’s right to appropriate the entire sum or any part thereof for expenses they have already incurred for the exhibition. Security
The TDAP shall take all security precautions in the interest of the exhibitors and visitors. However, the TDAP shall not be held responsible for any loss or theft of exhibits at the exhibition hall during the build up, exhibition and dismantling period. The TDAP shall also not be held responsible for any loss or damage to exhibits or any articles belonging to the exhibitors. Supplementary Clauses
Whenever necessary, the TDAP shall have the right to issue supplementary regulations in addition to those above ensure the smooth management of the exhibition. Any additional written regulations and / or instructions shall form part of the above terms and conditions and they shall be binding on the exhibitors.
Conditions By signing this application, the above named exhibiting organization agrees to abide by all rules, regulations, terms and conditions of this application in its entirety. This application becomes a contract and is binding on both parties on the date written below when accepted. The document contains the entire agreement between the parties and supersedes any prior agreement.
